Payroll is processed on three different schedules. Students and hourly staff are paid biweekly on Fridays. Exempt staff are paid monthly on the first business date of the month.
In order to begin work on campus, you will need to provide identifying documents to the Business Office and complete I-9 paperwork in ADP, our payroll system. You only need to complete this once unless there is a significant break in employment.
Employment Documents:
Form I-9 (mandatory Federal form)
Form W-4 (Federal form)
Form IL-W-4 or WT-4 (Illinois form or Wisconsin form)
Federal Form I-9:
The Federal Form I-9 establishes your right to work in the United States. To complete the I-9, you will need to bring certain original documents to the Business Office. We must attest to the validity of your documents in person.
U.S. employees must provide one item from List A; or one item from List B and one item from List C:
List A example: U.S. Passport
List B examples: driver’s license, school ID card
List C examples: U.S. Social Security Card, U.S. Birth Certificate

Please Note: I-9 documentation review must be completed in person!
Once you have presented your documents, you will complete your portion of Form I-9 in ADP. The Business Office will then be notified to complete section 2 of Form I-9. According to Federal Law, the entire process must be completed within 3 days of an employee beginning paid employment. Please complete this process in a timely manner!
For International Students and Staff:
You must present an unexpired passport, Form I-20 and Form I-94 in person to the Business Office. Form I-94 can be found in your passport, or online by visiting I-94 Card Verification. Your passport must remain current while you are employed. Any foreign national with expired documents will not be allowed to work. You will also need to complete a paper Form I-9 in the Business Office. International students and staff may not complete this form in ADP.
Federal Form W-4:
Once your I-9 documents have been reviewed, and you have set up your ADP account, you are required to complete Federal Tax Withholding Form W-4. You can find this form in ADP.
Illinois Form W-4 and Wisconsin Form WT-4:
If you reside and work in Illinois, you will be required to fill out Illinois Form IL-W-4. If you reside full-time in Wisconsin, or are working remotely from Wisconsin, you should fill out Wisconsin Form WT-4. These forms can be found directly in ADP.
