Operations and Office Coordinator - Career Advancement Center
Lake Forest College seeks applications for a full-time Operations and Office Coordinator in our Career Advancement Center. The Operations and Office Coordinator executes effective administration of the CAC office operations and triage, supervises the career ambassador (student staff) program, and coordinates career event planning logistics. This position reports to the Associate Director for Communication, Operations, and Data as well as the Assistant Vice President for Career Advancement/CAC Director.
Responsibilities include:
CAREER CENTER OPERATIONS
Manage office operations and scheduling: create administrative procedures where needed; lead front desk coverage.
Supervise and coach student staff to help them provide excellent customer service and coordinate work assignments to integrate student staff into CAC operations and set standards of service. Assist with recruiting, training, and supervising student staff members.
Maintain office space and aesthetic and support CAC team members by anticipating office needs, ordering and organizing office and event supplies.
Coordinate and execute transportation logistics for programs or events as needed.
Support CAC leadership team with administrative duties.
EVENT PLANNING
Plan and serve as project manager for large volume of career programs, ranging from small group workshops to large-scale signature networking events.
Lead event planning process: collaborate with colleagues to clarify event goals, track event planning details, manage deadlines, and execute all planning logistics, which may include scheduling facilities, ordering catering, and managing relationships with vendors and on-campus partners; organize event set-up, troubleshoot problems, and assist with logistics.
CUSTOMER SERVICE AND RELATIONSHIP MANAGEMENT
Serve as initial contact for current and prospective students and professionals, connecting them with appropriate resources.
Interact with employers to discuss positions and assist with posting their positions.
Liaise with campus partners as office operations require.
PLATFORM OPERATIONS
Manage, organize, and research information using online technology systems, such as career service management system (Handshake), alumni database (Slate), project/data management (Smartsheet), and LinkedIn.
Lead management of employer approvals, job postings, applications, and account requests.
Qualifications:
Strong administrative, customer service, and project management skills. Must be attentive to detail and able to work within established systems and processes.
Strong problem-solving and written/verbal communication skills, including email, phone, in person, etc.
Comfortable executing tasks independently while also supporting a larger team. Able to be flexible in a fast-paced work environment while managing multiple projects and deadlines.
Strong proficiency with word-processing and email software such as Microsoft Word and Outlook is required, and comfortable learning new software as needed. Preferred experience with spreadsheet software such as Excel. CRM experience is also a plus.
Must be team-oriented with excellent interpersonal skills; able to provide warm welcome to visitors and effective mentoring for student staff.
Must have an interest in supporting students/alumni, employers, and faculty/staff with diverse backgrounds and identities.
Preferred experience in event planning and/or higher education/career services.
Flexible with working some evenings and weekends if needed for college events; valid driver’s license and willingness to travel occasionally within the Chicagoland area.
