Assistant Registrar

Lake Forest College seeks an Assistant Registrar to serve as the primary contact for the evaluation and articulation of transfer credits according to established College policies and subsequent course registration.

 

Job Responsibilities

  • Preserve 2-day turnaround time on evaluating transfer credits for all stages of recruitment (prospect, admit, depositor, and matriculant) and final re-evaluation and record updating.
  • Review Slate query for admission newly deposited transfer students and recently received transcripts.
  • Collaborate with department chairpersons, and when needed, community college administrators to determine course transfer equivalencies to help ensure that credit is received, articulated, and posted in a consistent and timely manner.
  • Create, maintain, and update the college course articulation database of transfer credits for both the transfer course information and the equivalent course data in Jenzabar and TES. 
  • Assist with the ongoing review and documentation of transfer policies and procedures.
  • Provide credit evaluations when requested for first year students, including dual credit, Advanced Placement (AP), International Baccalaureate (IB), Seal of Biliteracy, Global Credential Evaluators (GCE) and American Council on Education (ACE) Military Evaluations.
  • Responsible for processing new students into current student status (Term Activation) and Transfer Advising Bridge Initiative (TABI).
  • Provide course mapping, in conjunction with a TABI advisor, when requested by a student/admissions counselor.
  • Respond to all inquiries and emails regarding articulation review and transcript detailing.
  • Serve as a frontline resource for visitors to the Registrar’s Office, directing inquiries to other Registrar’s personnel and academic support areas as appropriate.
  • Provide administrative support for Registrar and Associate Registrar, including but not limited to registration processing, schedule and advisor changes, major/minor declarations, withdrawals, independent studies, internships, website content, and email communications.
  • Serve as office liaison to Center for Chicago Programs and Global Engagement Office. Oversee registration, posting of credits, and transcripts for Lake Forest College in The Loop Program and College-approved study abroad programs.
  • Coordinate registration for other special populations including Community Education (non-degree learners/auditors), Endorsement-only (Education Department), ISEP Exchange, Jack Miller Scholars, Master of Liberal Studies, Richter Scholars, Summer Visitors.
  • Represent Registrar’s Office at Transfer Team meetings and specific admissions events (transfer visit day, transfer registration and advising.
  • Prepare future semesters' academic offerings in the college's SIS (Jenzabar) and Scheduling/Events system (AdAstra). This data includes section meeting dates, class time, room assignments, time slots, and faculty assignments in collaboration with academic departments.
  • Serve as the point person on all issues related to course scheduling.
  • Prepare proof of course schedules for department Chairpersons approval before final publication.
  • Assist in processing student registrations, add/drop requests, and withdrawals.
  • Manage Registrar's Office inbox and respond to email communications.
  • Serve as co-administrator for the implementation and maintenance of Coursedog, the College's Curriculum and Catalog management software.
  • Provide support to the Associate Registrar with reviewing degree audits.
  • Assist with commencement preparations.
  • Adhere to college policies and FERPA guidelines.

 

Qualifications

  • Bachelor’s Degree required with minimum 2-3 years of experience working in an institution of higher education. 
  • Registrar’s office experience preferred. Prior experience with evaluating transcripts and updating database as equivalencies change utilizing Transfer Evaluation System (TES). 
  • Strong knowledge of FERPA and accreditation standards. 
  • Prior experience working in Registrar's office in support of Course Scheduling and Curriculum Management.
  • Proficiency with technology and familiarity with student information systems required. 
  • Experience with Jenzabar student information system desirable. 
  • Proficiency with Infomaker or similar report writing software is very helpful.
  • Excellent written and verbal communication.
  • Ability to organize, plan, and prioritize work to deliver excellent customer service.
  • Student service oriented.
  • Proficient in the use of e-mail and communication with others.
  • Ability to work with diverse populations. 
  • Proficiency with Microsoft applications.
